Terms and Conditions of Sale
These terms and conditions are designed to protect both the traveler and Expédition Maya. By booking a trip, the traveler agrees to comply with these terms. As they may be updated without prior notice, we encourage you to review them before your departure.
Quote Requests
All quote requests must be submitted through the “Quote” section. A form must be completed so that we can offer you a personalized proposal tailored to your wishes. Please include as much information as possible in the “comments” section so we can accommodate the specific details of your trip. Our quotes are valid for 15 days.
Trip Confirmation
To confirm your trip, a 50% deposit of the total trip cost is required within 15 days of receiving your final quote. The remaining balance must be paid no later than 30 days before your arrival date. Upon receipt of the deposit, full payment, or any initial payment, your booking will be considered confirmed. No reservation will be confirmed until the specified deposit listed on your invoice has been received.
These conditions then constitute a legally binding contract between the traveler and Expédition Maya. This document outlines the responsibilities and expectations of both parties regarding the booked services. By making any payment, you confirm that you have read, understood, and accepted all terms and conditions.
Pricing
The applicable rates are those listed in your final quote provided by Expédition Maya. They are generally valid for 15 days from the date the quote is issued (unless otherwise stated).
Payment
Payments can be made through a secure payment link (3% service fee applies), which will be sent to you by email, or via bank transfer to a dollar-denominated account with no additional fees. We understand that each client has different needs, so we are open to discussing the payment methods that best suit you. Contact us to explore your payment options. An invoice corresponding to your payment will be provided by email shortly thereafter.
Trip Cancellation
All cancellations must be submitted in writing via email. The date of cancellation will be the date we receive your written notice. We understand that plans may change, so we strive to be flexible in our cancellation policy:
-
Cancellation more than 60 days before departure: 35% of the total trip cost will be retained, or we can discuss postponing your trip to a later date (subject to availability and potential additional fees).
-
Cancellation between 60 and 31 days before departure: 50% of the total trip cost will be retained, or we can discuss rescheduling (subject to availability and potential additional fees).
-
Cancellation less than 31 days before departure: As expenses may have already been committed with hotels or other providers, no refund will be issued. However, we are open to discussing postponement options (subject to availability and additional costs).
You may reschedule your trip to a later date, subject to availability. Expédition Maya will confirm the new trip departure.
We are here to support you through unforeseen situations—please don’t hesitate to contact us to explore your options.
International Flights
Expédition Maya does not book or sell international airline tickets. Therefore, we cannot be held responsible for delays or cancellations related to your international flights, and no compensation can be claimed.
Trip Modifications
If you request changes to your itinerary after confirmation, Expédition Maya reserves the right to charge administrative fees. These fees are separate from any cost differences due to modifications in services.
Any request to modify or cancel an activity, accommodation, or transportation should be communicated as early as possible. Last-minute changes may not be refundable and may incur additional fees. Significant changes (such as hotel changes, dates, or transport schedules) will incur extra costs.
Itinerary changes may occur due to unforeseen circumstances (road closures, flight delays, overbookings, weather, etc.). Expédition Maya cannot be held responsible for such modifications.
Complaints
If you have any complaints during your trip, it is essential to notify us immediately so we can work toward a solution. Failing to do so may compromise your right to compensation. If your issue cannot be resolved during the trip, please write to us within 10 days of your return so we can thoroughly review your concern.
Travel Insurance
We strongly recommend purchasing comprehensive travel insurance covering medical expenses, hospitalization, death, repatriation, cancellation, and trip interruption. Ensure your insurance covers all planned activities and has no exclusion clauses. It is your responsibility to verify the adequacy of your coverage. Additional insurance may be required.
Passports, Visas, and Vaccinations
You are responsible for holding a valid passport, any necessary visas, and required vaccination certificates. We can provide general guidance, but we decline all responsibility for outdated or incorrect information. If you are denied boarding due to missing documents, any resulting costs will be at your expense.
Please check your government’s official travel website for updated entry requirements before booking.
Health & Fitness
By booking, you confirm that you and your travel companions are in good physical and mental health to participate in the chosen itinerary. Some activities may require physical effort or expose you to extreme conditions. Inform us of any medical conditions or dietary restrictions. A medical certificate may be required. You must have valid international medical insurance.
Expédition Maya reserves the right to exclude a participant for medical, behavioral, or safety reasons without refund. You will be held responsible for any damage caused and must reimburse it directly.
Liability
Expédition Maya is not responsible for the loss, theft, or damage of personal belongings. You are responsible for your belongings throughout the trip. We are not liable for items lost or stolen in hotels, vehicles, boats, or any other transportation.
While travel insurance is strongly recommended, it is not mandatory. If you travel without it, no refund will be issued for incidents (delays, cancellations, medical emergencies, etc.).
You must comply with all applicable laws and regulations. Any illegal or disruptive behavior may result in immediate termination of your trip at your expense. No refund will be issued for unused services or additional expenses caused by this termination.
You are responsible for any property damage caused during the trip and must report any pre-existing damage to the local operator or lodging staff. Follow all safety instructions and signage. The local operator and providers are not liable for losses or damages due to failure to follow safety rules.
If you have any concerns or complaints during your trip, please inform us. Written complaints must be submitted within 30 days of your return.
Expédition Maya is not responsible for accidents, injuries, or damages incurred during services booked directly by the traveler without going through our agency.
Air Transport, Ferries & Delays
Airline schedules and fares are subject to change without notice. Expédition Maya is not responsible for cancellations, overbookings, baggage loss, or delays caused by airlines. All claims must be addressed directly with the carrier. Flight changes may result in additional costs for the traveler.
Acceptance of Risk
By booking, you accept the inherent risks of adventure travel. You are responsible for your safety and release Expédition Maya from liability in the event of accidents, loss, injury, or death.
Failure to comply with local laws or inappropriate behavior may result in trip termination without refund. You are liable for any damages caused.
Responsible Travel
Travelers booking with us agree to uphold values of cultural respect, environmental preservation, community involvement, sustainable tourism, responsible behavior, and ethical practices throughout their journey. This ensures a meaningful and respectful travel experience for all involved.
